A blank page and a deadline. That’s usually where this starts. Someone on the committee, the PTA, the church board, or the family group chat gets handed the job of writing the notice, and suddenly every word feels like it matters more than it should.
The tricky part isn’t the ask itself. It’s finding a tone that feels warm instead of pushy, clear instead of stiff, and personal enough that people actually stop scrolling long enough to read it.
That’s what the samples below are for. Pick the one closest to your situation, swap in your own names and numbers, and send it off.

Fundraising Notice Samples
Each sample below covers a different kind of cause, from a school bake sale to a memorial fund, so you can find a shape and tone that fits your own notice. Copy what works, tweak the details, and make it yours.
1. School Bake Sale Flyer
Join Us for the Lincoln Elementary Bake Sale!
Saturday, October 17, from 9 a.m. to 1 p.m., right outside the school gym.
Every dollar raised goes straight toward new art supplies for all three grades.
Cookies, cupcakes, brownies, and a few surprises will be ready and waiting.
Bring cash, bring a friend, and bring your sweet tooth.
See you there.
2. Nonprofit Annual Giving Email
A Warm Meal Costs Less Than You Think
Dear Marcus,
Every winter, Riverside Shelter turns away families simply because the beds run out. Your gift tonight can add one more.
Fifty dollars covers five nights of shelter and three hot meals for one person. Two hundred dollars keeps the doors open for a whole family through the coldest week of the year.
Give whatever you can before midnight, and the Callahan Family Foundation will match it, dollar for dollar.
With gratitude,
Priya Nandan
Development Director, Riverside Shelter
3. Community Charity Walk Poster
The Fifth Annual Steps for Hope 5K
Sunday, April 12, starting at 8 a.m. sharp at Maple Grove Park.
Walkers, joggers, strollers, and dogs on leashes are all welcome. This one isn’t about your time on the clock.
Registration runs $25 for adults and $10 for anyone under 18. Every cent goes to Maple Grove Pediatric Cancer Research.
Sign up early and grab a free t-shirt while supplies last. Show up on the day and you’ll still get a route map, water stations, and a finish line full of people cheering you on.
4. Church Building Fund Letter
Dear Friends of Grace Chapel,
For sixty years, this building has held weddings, funerals, potlucks, and quiet Sunday mornings. The roof is finally telling us it’s tired.
Our contractor put the repair cost at $84,000, and the church council has already committed $30,000 from reserves. That leaves $54,000 for the congregation to raise between now and June.
A gift of any size helps, whether it’s $25 tucked into the offering plate or a pledge spread across twelve months. Envelopes are available at the welcome table, and online giving is open through the church website.
Grace and peace,
Pastor Daniel Osei
5. Emergency Disaster Relief Notice
Families in Millbrook Need Help Tonight
Tuesday’s flooding left more than 200 families without power, and dozens without a home to return to. The shelter at Millbrook High School is full.
A gift of $35 provides one family with blankets, food, and clean water for two days. Larger gifts help the Red Cross chapter cover generator fuel and emergency housing.
Donations made through Friday will be matched up to $10,000 by a local business group. Give what you can, and share this with anyone nearby who might help.
6. Crowdfunding Campaign Update Post
Quick update on the food truck fund, and it’s a good one.
Thanks to 143 of you, we’ve hit $9,200 of our $15,000 goal in nine days. That’s the down payment covered.
Here’s the honest part. The last stretch is always the hardest, since the early rush of excitement has worn off. If you’ve been meaning to chip in but haven’t yet, this is the week.
Every $20 gets your name on the truck’s opening day banner. Every $100 gets you a free meal a month for a year once we’re rolling. Link’s in the bio, and thank you for sticking with us this long.
7. Corporate Matching Gift Campaign Email
Hi team,
It’s that time of year again. Our annual United Way campaign kicks off Monday, and this year the company is doubling every dollar you give, up to $500 per person.
That means a $50 gift becomes $100. A $200 gift becomes $400. The money supports local food banks, after-school programs, and job training right here in the county.
Pledge cards will be at your desk by Monday morning, and payroll deduction takes about thirty seconds to set up. Reach out to anyone in HR if you have questions.
Thanks for considering it,
The People Team
8. PTA Wrapping Paper Sale Flyer
Help Us Bring Back Recess Equipment!
Our wrapping paper and cookie dough sale runs from November 4 through November 18.
Every order form your child brings home puts money straight back into new playground balls, jump ropes, and four-square kits. Last year’s sale funded the whole new basketball hoop set.
Orders arrive just in time for the holidays, so it doubles as gift shopping. Top-selling classroom wins a pizza party, so a little friendly competition never hurts.
9. Medical Expenses Fundraiser Letter
Dear neighbors,
Most of you know Rosa Delgado from the corner bakery on Fifth Street. What you might not know is that she’s been fighting a rare kidney condition for the past year.
Her treatment isn’t covered by insurance, and the out-of-pocket cost has already reached $22,000. Her daughter set up a fund to help cover what’s left.
A gift of $10 or $10,000 means the same thing to this family right now, which is one less thing to worry about while Rosa focuses on getting better. The donation link is posted at the bakery counter and shared below.
With love from the whole block,
The Fifth Street Neighbors
10. Animal Shelter Fundraiser Notice
Every Cage Should Feel Like a Waiting Room, Not a Home
Sunnybrook Animal Shelter is currently housing 62 dogs and 41 cats, which is nearly double our comfortable capacity.
A $15 gift covers one week of food for a single animal. A $60 gift covers a full round of vaccinations. Anything above that goes toward the spay and neuter program that keeps this cycle from repeating.
Foster applications are also open for anyone who has room at home but not room in the budget. Either way, thank you for thinking of the ones waiting.
11. Alumni Scholarship Fund Notice
Dear Class of 2011,
Fifteen years since graduation, and Westfield High still holds a soft spot for most of us, whether we admit it or not.
This year, the alumni association is aiming to fund three full scholarships of $2,500 each for graduating seniors headed to college. We’re just over halfway there, with $11,200 raised of an $18,750 goal.
A gift of $50 buys a graduation cap and gown for a student who couldn’t otherwise afford one. A gift of $500 names you as a named scholarship sponsor for the year. Every contribution, large or small, moves a student closer to that first semester.
Go Wildcats,
The Westfield Alumni Committee
12. Youth Sports Team Car Wash Notice
Free Hugs, Suggested Donation for the Car Wash
Saturday, June 6, from 10 a.m. to 2 p.m. in the Hometown Bank parking lot.
The Eastview U12 Soccer Club is raising money for new uniforms and tournament travel costs. A suggested donation of $10 per car keeps things simple, though nobody’s turning away less.
Bring your car, bring your kids, and expect a lot of soap and a little bit of chaos. Rain date is June 13.
13. Alumni Association Annual Fund Letter
Dear Graduate,
The Hillcrest Alumni Fund quietly supports more than most people realize, from emergency grants for students facing sudden hardship to the campus food pantry that served over 4,000 meals last year.
This year’s goal sits at $120,000, with $76,400 already pledged by fellow graduates like you.
A monthly gift of $15 adds up to $180 a year, enough to cover one student’s textbooks for a full semester. One-time gifts of any size are equally welcome and equally appreciated.
Thank you for staying connected to this place,
Hillcrest Office of Alumni Relations
14. Year-End Holiday Giving Campaign Notice
Your Gift Before December 31 Goes Twice as Far
The Hopewell Family Foundation is closing out the year with a matching gift challenge, and the timing couldn’t be better.
Every donation made before midnight on New Year’s Eve will be matched dollar for dollar, up to a total of $50,000. Your gift is also tax deductible for this year, which your accountant will thank you for come April.
Whether it’s $25 toward warm coats, $75 toward grocery gift cards, or $150 toward rent assistance, the impact doubles before it even reaches the family receiving it. Give early, since the match runs out once the pool is claimed.
15. Memorial Fund Notice
In loving memory of Harold Whitfield, 1948 to 2026.
Harold spent thirty-two years coaching Little League at Oakridge Park, and it’s hard to find a family in town he didn’t touch in some small way.
In place of flowers, the Whitfield family has asked that gifts be directed to the Oakridge Youth Baseball Scholarship, which will cover registration fees for kids whose families can’t otherwise afford to play.
Gifts of any amount are welcome and will be shared with the family alongside your name, unless you’d rather give quietly. Harold would probably tell you not to make a fuss about it, so keep it simple if you can.
Wrapping Up
A good fundraising notice doesn’t need clever tricks or a hard sell. It just needs to tell people plainly what’s needed, why it matters, and how easy it is to help.
Grab whichever sample fits closest, put your own names and numbers in place, and send it out today. Someone on the other end is probably just waiting to be asked.
